How to handle ParentSquare messages without missing anything

Quick answer

In ParentSquare, go to My Account, then Notification Settings (or Menu, Account, Notifications in the app). Set general posts to Digest so they arrive once a day around 6 PM, keep School Alerts on, and choose one channel you actually read. Urgent alerts still come through instantly. Then subscribe to the ParentSquare calendar so school events land on your own calendar and update when the school changes them.

ParentSquare is where a lot of districts put everything: the principal’s weekly note, the class party sign-up, the field trip payment, the snow day alert. The problem is rarely that a message never arrived. It’s that it arrived next to twenty others and looked the same.

The fix is mostly settings. Here is how ParentSquare decides what reaches you and when, and a setup that keeps the important things loud.

What ParentSquare sends, and how

ParentSquare can reach you by text, email, app notification and voice call, based on your preferences. You don’t even need the app: families can receive and respond by text or email alone.

Your settings group messages into types. A widely shared parent guide to ParentSquare’s settings describes three kinds:

  • Urgent Smart Alerts & Notices. Urgent alerts, attendance notices and notices marked critical. You can’t turn these off.
  • General Announcements & Messages. Posts from the school, district, teachers and groups, plus direct messages and reminders. This is where the volume lives.
  • School Alerts. Smart Alerts and other student notices, which you can switch on or off.

Instant vs Digest vs Off

For general posts you pick one of three options for each channel (email, text and app):

Digest is less risky than it sounds. Urgent alerts, posts the school marks for immediate delivery, Smart Alerts and direct messages still arrive right away, whatever you choose. ParentSquare also says urgent alerts can override your preferences for things like closures, safety incidents and weather.

Two details that trip people up. First, notifications go to only one email and one phone on your account, so if you have several listed, set the order so the one you read is first. Second, with kids at more than one school you can turn on Custom Settings and set each school differently.

How to change your settings

Menu names vary a little by school and by app version, so look for the closest match if a step doesn’t line up exactly.

  1. On the web: from Home, click your name in the top right, choose My Account, then Notification Settings on the left (St. Johns County).
  2. In the app: tap the menu (three bars, top left), then Account, then Notifications. Toggle email, text and app on or off, and pick Instant or Digest for each.
  3. Set School Alerts. Leave them on unless you’re sure someone else in the house is getting them.
  4. Check which email and phone come first. If the school has an old work email on file, notifications may be going there.

If the menus look different on your account, use the help button inside ParentSquare: on a computer it’s the question mark in the top menu. ParentSquare’s help articles now open only after you sign in.

A setup that misses nothing

The pattern most schools themselves recommend: Digest for posts, School Alerts on. Then make one channel the place you check.

ParentSquare settings that work for most parents

  • Posts on Digest for email (one end-of-day roundup you can read in one sitting).
  • App notifications on Instant only for one parent, if you want a live feed. Two parents both on Instant for every school is how phones melt.
  • No need for a text on every post. Urgent alerts arrive instantly whatever you choose for posts, so Digest (or Off) for texts is usually enough.
  • The second parent on Off or Digest. Their emergency alerts still arrive.
  • Calendar subscribed (next section), so dates don’t depend on you reading every post.
  • A mail filter or label for ParentSquare emails, so the digest doesn’t sink under everything else.

Get the school calendar onto your own calendar

ParentSquare lets parents sync the school calendar with their own. Schools that publish instructions describe two ways:

  1. On the web: in the left navigation under Explore, select Calendar, then click Subscribe in the top right (Penn-Harris-Madison). Follow the prompt to add it to Google, Apple or Outlook.
  2. In the app: tap the menu, then Account, then Preferences, and turn on Automatically add events to Calendar (Stillwater CSD). On an iPhone you’ll be asked to let ParentSquare use your calendar; if you said no earlier, turn it back on in your phone’s privacy settings for Calendars (school instructions).

Once subscribed, school, class and group events show up in your calendar app. Because it’s a subscription, your calendar app checks for updates on its own schedule, so a same-day change may still reach you faster as an alert than as a calendar edit.

Sign-ups, RSVPs and payments

ParentSquare posts can carry actions, not just news. Schools use it for event RSVPs, volunteer sign-ups and conference slots, and with ParentSquare Pay they can combine a message, a form and a payment in one post. Families pay in the app by card, Apple Pay or Google Pay, and payment reminders go out by email, text or app, whichever you’ve chosen.

These are the posts that hurt to miss, because they have a deadline or a limited number of spots. A few habits help:

  • When a digest includes a sign-up, act on it that evening. Conference slots and volunteer spots go fast.
  • Add your own reminder for payment and form deadlines; the post itself isn’t on your calendar unless the school made an event.
  • If both parents get the digest, agree on who handles sign-ups so you don’t double-book a slot.

How Dottie fits with ParentSquare

Dottie doesn’t connect to ParentSquare directly. It works with what ParentSquare already sends you: the notification emails in your inbox, and a calendar feed or page you choose to give it.

When you set it up, it looks at who sends you school email and may suggest watching ParentSquare’s messages. You confirm. From then on, when a ParentSquare email mentions a date (a picture day, an early dismissal, a form due Friday), it texts you and asks before anything goes on your Google Calendar. A thumbs-up is a yes.

An example exchange

Two settings choices matter if you use Dottie this way:

  • Keep email notifications on. If ParentSquare email is set to Off, there’s nothing in your inbox to read. Digest is fine; Instant is fine.
  • The calendar is optional. If ParentSquare gives you a calendar link you can copy, you can also hand that link to Dottie to watch, and it will ask before adding new events.

It can misread things, so check anything that matters, and correct it by texting (“No, the dismissal is at 1:00”).
